Frequently Asked Questions About Beanies

What is Bots For That?
Pretty much everyone works on a computer at some point… and nearly everyone has at least one manual, boring task they have to do. Most, if not all, would prefer to work smarter instead of harder, spending as little time as possible on the mundane stuff.
Our beanies do away with those must-do repetitive tasks by automating them. You won’t be sorry to see the back of those jobs – they’re tedious, repetitive and labour intensive, consuming your time and effort and keeping you from doing the more interesting stuff. We believe work should and can be better – more fun, less boring, more rewarding.
That’s what Bots for That is for. It’s a simple way to build your very own Beanie to do those dreaded tasks for you, quickly and without errors. The best part is, it’s all built and run for you – no do-it-yourself required.
How does Bots for That work?
We’re always creating ready-made Beanie Recipes to work with the most common applications in accounting (e.g. Xero, Dext) as well as tasks (e.g. bank reconciliation and reporting).
You just have to:
Pick your Beanie Recipe
Tell us anything specific you want the Beanie to do
Provide a short video recording of your manual task
Give us access to the various applications involved and some data to test with
We’ll then build and test your Beanie for you, complete the set-up and run it for you whenever and wherever you want, as often as you want
If there’s an application or task that we don’t have a Beanie Recipe for, don’t worry, we’ll build it for you, as quickly and simply as possible.
What are the benefits?
Here are just a few:
• Beanies perform your manual, boring tasks, so you and your staff don’t have to
• They work with 100% accuracy, 24 hours a day, 7 days a week, 365 days a year
• Our Beanie can take on the manual workload of up to four people
• There aren’t any software licensing costs – just simple monthly service plans where you pay for what you use
• Simple, safe, and secure solutions, delivered where and when you need them
• No task is too simple or complex and no system is unsuitable, but if our Beanies can’t do it, we’ll tell you and won’t waste your time
• System integrations aren’t necessary and we can work with any software
Ultimately, Beanies free up time, allowing you and your people to focus on more productive, creative work and unleash your true potential.
Is it expensive?
Our price is a fair reflection of the work it takes to set up and keep the Beanie running efficiently and effectively. We have an initial on-boarding fee where you are led through the set up process with our customer success team, who assist you in getting the best out of your Beanies. We offer clear, scalable plans to suit your needs, with something to suit everyone’s budget and goals – it’s really all about how valuable your time is to you and your business!
Think about it in this way. Your competitors are probably already using AI and Automation to boost productivity and make work less work – are you keeping up with them? Is your workforce agile enough to survive and grow sustainably? Can you keep your staff happy and motivated? Are you investing in your most valuable resources, or giving them reasons to look for jobs elsewhere?
What tasks are suitable?
Generally speaking, any task that a person does manually on a computer system or application is suitable for our Beanies. As a priority, you should look for tasks that are:
• Manual and repetitive
• Use predictable digital data
• Rules or logic-based
Examples include; accessing and logging in to applications, obtaining and updating folders and files, running macros, executing APIs, extracting, downloading or uploading content/data, sending emails and performing calculations.
You can eliminate slow, manual work across customer services, account verification, AML, fraud and payments and many more, resulting in a lower cost to serve, a greatly improved customer experience, vastly superior compliance and a leaner more productive workforce.
How long does it take to build my Beanie?
A customised Beanie using one of our Beanie Recipes can take anything from a few hours to a few days from start to finish.
Bespoke Beanies depend on the scope and complexity of your tasks, but on average it takes 2-3 weeks. It really depends on how quickly we can define your exact needs together and get access to your systems.
Are Beanies secure?
Yes, is the short answer. The Beanies accesses your own apps, with user accounts that you own and control. Beanieverse login credentials are encrypted at rest (AES 256 bit) and stored in an automation cloud which conforms to various international standards. These include; ISO/IEC 27001:2013, ISO/IEC 27017:2015, ISO/IEC 27018:2019, ISO 9001:2015, SOC 2, HIPPA, HITRUST amongst others.
How does a Beanie handle 2FA securely?
Beanies use TOTP VB.net libraries to generate and store an encrypted secret that is used to generate a 6-digit passcode every time it needs to login to an application. Each code is only valid for 30 seconds, and they’re never disclosed to anyone, anywhere, ever.
What logs or reports are available?
Each time a Beanie runs, they generate extensive data logs that detail the decisions and logic executed. But, it doesn’t log any of the actual process or sensitive data that the Beanie processes. Extensive audit logs are also created which detail the interactions that users, administrators and Beanies have with an automation cloud.
How do Beanies access and use our data?
The Beanies access the data within your systems and applications to view and update that data. It holds the data in it’s temporary memory whilst processing, then it deletes everything. No data ever leaves your own application environments, and none of your data is saved, retained, archived or transmitted.
