DIY automation

The build-it-yourself trap

The pain

A senior accountant, drowning in repetitive manual work, spent evenings building her own automation workflow. It seemed to work — until triggers misfired, data landed in the wrong place, and one Monday it stopped entirely, right in the middle of a busy period.

The solution

The hours spent building and debugging added up to far more than she ever saved. Stepping back, the lesson was obvious: the cost was not the tool, it was assuming she should build it herself. So she brought in people who already had the answer.

New partner

The new partner who won’t wait

The pain

A newly appointed partner had seen the inefficiencies up close for years and finally had the authority to act. They knew the firm’s long-term survival depended on AI and automation as the foundation — not a bolt-on afterthought.

The solution

The first step was not finding a tool; it was cleaning up the processes underneath. Working with the right partner, they audited what worked, cut what did not, and built a workflow genuinely ready for AI to sit on top.

Succession

A new generation sees what needs to change

The pain

When a family firm passed to the next generation, the new owner could see the bloated processes and manual tasks clearly — but a long-tenured team was slow to trust what they did not yet understand.

The solution

Rather than forcing wholesale change, they took a measured approach: automate one process and let the results speak. Time saved, errors reduced, pressure lifted — and resistance softened.

Frequently asked questions

Do I need technical skills to use accounting automation?

No. Our agents and command centres are a simple plug and play. We offer an onboarding service to help you get set up. Once set up, the agent or command centre is yours to play with! There’s nothing to build or maintain on your end.

Which accounting tools do you support?

Systems our agents and command centres currently support include Xero, Dext, PayCircle and HMRC — with more to be added.

Is my data secure?

Yes. Governance and guardrails are a key part of our solutions. Every bot runs on the same six-layer AI architecture and security that powers our largest, most regulated clients.

How easy is it to implement?

Getting set up with our operating system doesn’t take long at all; it’s just a matter of connecting your clients to the platform via Xero, HMRC, etc. We highly recommend that any current processes you use within the firm are as tidy as possible, as this will amplify the benefits our solutions can offer.

What does the price cover?

A simple annual licence covers running, maintaining and improving your automation solution. No setup projects, no hidden maintenance fees.

Will I need to train my staff?

Like any new piece of software, your staff will need to learn how to use the platform. With a clean UI and smooth user experience, it doesn’t take long for users to pick up how the platform works. Additionally, we recommend choosing a ‘Champion’ — someone who will manage the operating system and understand it inside and out. They, and any other staff who will be regularly using the platform, should be part of the onboarding process to be guided through the inner workings of the OS.
